The physical badge is sixty years old. The smartphone does the same job, better. Here is what actually happens between the phone and the door.
A digital badge, also called a virtual badge or mobile credential, is an access identifier stored on the phone rather than on a plastic card. The employee holds their smartphone to the reader and the door opens. The gesture is identical; what changes is everything behind it.
On iPhone and Android, the credential sits in the operating system’s native wallet: Apple Wallet or Google Wallet. This matters and is often misunderstood: there is no app to open, unlock and navigate. The badge lives in the same place as the transit pass and the bank card, inside the secure element, and behaves the same way — phone locked, and often screen off.
When someone joins, their identity is created in the access control system exactly as it is today. Instead of printing a card, the system issues an encrypted credential that the phone retrieves and files in its wallet. It takes seconds and happens remotely: the employee need not be on site, or meet anyone.
The NFC chip reproduces the badge gesture: you hold the phone a few centimetres away.
The credential does not live in an app but in the phone’s secure element — the same hardware chip that protects contactless payments. It cannot be read by other applications, extracted, or copied onto another device. That is a sharp break from legacy cards: an older-technology badge can be cloned with a reader costing a few tens of euros.
They stop forgetting it. It sounds trivial and yet it is most of the felt benefit: people forget their badge regularly, and almost never forget their phone.
A new joiner has access before their first day. Someone visiting another site does not have to ask reception for a visitor badge. And the gesture stays the one they already know.
Revocation becomes immediate. A leaver, a lost phone, a contractor whose assignment ends: access is cut remotely, in real time, with no physical object to recover. Where unreturned cards pile up, this point alone often justifies the project.
The administrative workstation disappears too: no printing, no stock of blank cards, no badge printer, no reordering. Managing temporary access — temps, contractors, regular visitors — moves from physical logistics to a few clicks.
That leaves traceability, unchanged in principle but more reliable in practice: a digital badge cannot be lent to a colleague.
This is the first objection raised in any sales conversation, and a fair one. Replacing a fleet of readers costs more than the project itself.
The answer depends on your equipment. Recent readers from the major manufacturers accept mobile credentials natively or after a firmware update. Older readers can often be fitted with an add-on module rather than replaced. Some very old estates do need migrating, but that can be done gradually, door by door, starting with the doors most people use, and keeping cards running in parallel during the transition.
There is no general answer: auditing the existing estate is the first step of any serious project, well before any license discussion.
The gains can be quantified, but with your own data: cards issued per year, cards never returned, time your teams spend on access requests, average lead time for a new joiner. Those figures already exist in your systems, and that is where an honest evaluation starts.
